How to Process a Sale

  1. Initiate New Sales Order


  • Navigate to the "Sales Order" tab in the sidebar menu.
  • Click on the "New Sales Order" button to open the sales order interface.

  1. Select Customer


  • Search for an existing customer or click "Add New" to create a new customer profile.


  • Verify customer details and check their order history if necessary.

  1. Add Products


  • Click "Browse Product Catalog" to select items for the order.


  • If looking for inventory that was migrated from a previous system, be sure to add the "Discontinued" filter.


  • Add the item using the "+" button on the right-hand side.


  • For each item, specify whether it is from inventory or a special order.


  • Adjust quantities as needed; note that price adjustments will be made later.

  1. Set Delivery Information


  • Choose a fulfillment method for all items (e.g., pickup, delivery, immediate fulfillment).


  • If different methods are required for specific items, select the option to customize fulfillment for those items.

  1. Review and Confirm Order


  • Click on the "Review and Confirm" button to access the pricing page.


  • Make any necessary adjustments to pricing, apply discounts, and set product names if needed.


  • Ensure the quantity set on the previous page is correct, as it cannot be edited here.

  1. Calculate Tax


  • Click the "Calculate Tax" button to apply the appropriate taxes to the order.


  • Do not skip this step as it is essential for accurate invoicing.

  1. Assign Inventory


  • After confirming the order details, assign inventory to the order items as necessary.

  1. Generate Invoice


  • Preview the invoice to ensure all details are correct.


  • Proceed to the payment section.

  1. Process Payment


  • Select the payment method (e.g., cash, credit).


  • Complete the sale and generate the receipt.

  1. Finalize and Exit


  • Save the order and exit to return to the sales order detail page.


  • Manage fulfillment of any items the customer took with them on the fulfillment tab of the Sales Order page.
  • Place any POs for Direct to Customer items.
  • Place other POs as appropriate.


Cautionary Notes


  • Ensure all customer and product information is accurate before proceeding to the next steps.

  • Do not skip the tax calculation step, as it may lead to incorrect invoicing.

  • Double-check the fulfillment methods to avoid delivery issues.
