How to Process a Sale

Initiate New Sales Order

Navigate to the "Sales Order" tab in the sidebar menu.
Click on the "New Sales Order" button to open the sales order interface.

Select Customer

Search for an existing customer or click "Add New" to create a new customer profile.
Verify customer details and check their order history if necessary.

Add Products

Click "Browse Product Catalog" to select items for the order.
If looking for inventory that was migrated from a previous system, be sure to add the "Discontinued" filter.
Add the item using the "+" button on the right-hand side.
For each item, specify whether it is from inventory or a special order.
Adjust quantities as needed; note that price adjustments will be made later.

Set Delivery Information

Choose a fulfillment method for all items (e.g., pickup, delivery, immediate fulfillment).
If different methods are required for specific items, select the option to customize fulfillment for those items.

Review and Confirm Order

Click on the "Review and Confirm" button to access the pricing page.
Make any necessary adjustments to pricing, apply discounts, and set product names if needed.
Ensure the quantity set on the previous page is correct, as it cannot be edited here.

Pistachio's Quickbooks Online integration automates the process of keeping your POS data and accounting system of record in sync. Once your Quickbooks account is connected, Pistachio will automatically create journal entries that directly sync with Quickbooks, eliminating the need for double entry in both systems.

Pistachio statuses and the order lifecycle

Sales Order: An order a customer places with you.

Draft - Every sales order starts in draft. At this point, the sales order is fully editable.
In Review - The sales order is being reviewed for correctness.
Pending - The order is open and in process. Sales orders automatically move to “Pending” when payment is taken on the order.
Ready - The order is ready to be delivered. Sales orders automatically move to “Ready” when all items on the order have fulfillment status “Received” and inventory status “Ready”.
Complete - All items on the order are delivered. Sales orders automatically move to “Complete” when all items on the order have been marked “Delivered”.
Note: Manually changing the status to Complete will NOT mark the items delivered.
Cancelled - All items on the order are cancelled. Sales orders automatically move to “Cancelled” when all items have been cancelled using the “Cancel Items” feature.

Purchase Order: An order you place with a vendor.

Adding Comments and Tasks

One feature that Pistachio offers you is to add comments or tasks to any sales order, purchase order, shipment, delivery or transfer.

This can be really helpful for a few reasons:

Communicating any specific information about an order if the salesperson will be away or if they are away and someone else takes a message for them.
Explaining why an order may appear strange, ex: payments and invoicing have some odd debits and credits.
Including any important information about a delivery, ex: using a certain entry or adding a gate code.
Setting reminders for follow up actions on a future date and assigning that work to yourself or someone else.

There are 2 ways to access the comments and tasks functionality.

Click on the 3 dots next to any sales order, purchase order, shipment, delivery or transfer from the main table.
Open a specific sales order, purchase order, shipment, delivery or transfer.
Then add in any tasks or comments. All users will be able to see the tasks or comments.

Note: All tasks can be viewed by accessing the tasks option from the left side panel. They cannot be created from this screen. They cannot be closed from this view either.
